This page explains how information submitted through MINDSET website forms is handled.
This notice reflects how MINDSET currently handles website enquiries. It will be updated as the charity's services, communications and data processes develop.
Information we collect
Depending on the form you use, we may collect your name, email address, optional phone number, organisation, location, role or area of interest, and the message or enquiry you submit. Programme interest forms may also ask for an optional age bracket and postcode or borough for basic service planning. Workshop and event interest forms collect only the contact details needed to respond. The website also provides an optional newsletter sign-up and, on some forms, an optional choice to receive MINDSET updates. Published newsletters may be provided as PDF files, with subscribers receiving an email containing a link to the newsletter and a unique unsubscribe link.
Why we use it
We use website enquiry information to understand your request, respond to you and manage conversations about programmes, workshops, events, volunteering, donations, in-kind support, partnerships, schools and other contact. If you opt in to updates, MINDSET records your email address, consent date, consent source and subscription status so the charity can manage that consent and allow you to unsubscribe.
Sensitive information
Please do not send medical records, diagnoses, detailed health histories, bank/card information, passwords or other unnecessary sensitive information through the website forms. MINDSET is not a crisis service.
How information is stored
Once the website database is configured, form submissions and newsletter consent records are stored in the site’s protected MySQL database and are available only through the authenticated admin area. During database setup only, enquiry forms can temporarily fall back to a protected server-side file so submissions are not lost. The website is also configured to send a copy to hello@mindsetcharity.org.uk when server mail is available.
Who it is shared with
Enquiry information should only be accessed by authorised people working on behalf of MINDSET who need it to respond or manage the relationship, unless disclosure is required by law.
Retention and your rights
MINDSET should keep personal information only for as long as needed for the purpose it was collected. UK data-protection law may give you rights including access, correction and, in some circumstances, deletion or restriction.
